1. Introduction At Tiger Martial Arts, we take your data and privacy very seriously. All the data we have collected, and use, is for enhancing your child’s experience here with us at Tiger Martial Arts. Below you will find the personal Data that we have collected, how we use that information, who it is shared with and what happens should you wish to leave us. 2. Information Collected and How When initially signing up with us, you can make contact in five ways. Either via our website, using the sign-up platform Jotform, email, call, text message, or on rare occasions a hard copy sign up form. These are the only ways that we collect your data. The information you provide us is as follows: • Your first and last name • A contact Number – This is used in case of emergency, if there has been a change to the class time/location, if we need to discuss your child in detail, or regarding payment. • A contact Email – This is used to send you weekly updates about what your child will be doing during classes, to inform you of upcoming events such as competitions or Fun Days, to invite you to grading sessions, regarding payments, attendance, a change of time/location, or to discuss your child's training. We try and make all our emails that you receive as relevant as possible to your child’s individual class. • Your Home Address – This is used only as a billing address. We do not send anything to home addresses, unless on rare occasions when we are asked to deliver something by you. • Your Child’s first and last name • Gender of your Child • The Date of Birth of your child – This is used to determine which class and age group is most appropriate for your child. • The height of your child – This is used to determine which size uniform your child should be given. • Relevant Medical Information – This is used for health and safety purposes, and to assess how we can best accommodate to your child's specific needs, to ensure they can enjoy their training whilst remaining safe. • The school they attend – We occasionally conduct presentations at Schools where we run clubs. During these presentations we present belts and awards to the students who have passed gradings. This knowledge allows us to ensure we give the right belts in the right places where applicable. • The club location they wish to join – We have multiple locations, we need this information to make sure that we have added your child to the correct register before they start. • Payment Information - Once a student has signed up and payments are made, we are then able to see payments that are made under your name via GoCardless. From this, we can see your name, address, contact email and the bank or building society you are registered with. No other bank or financial information is available to us in this regard. • Previous Experience – This helps us determine what belt/grade your child is before they start. This allows us to place them in the correct club/time for their ability. It also helps us make sure that after gradings, they are given the correct belt. • General things you would like to see improve with your child – This just helps us to work with your child to achieve some personal goals that you as a parent would like to see, or your child would like to see. The above information is used to create a student profile that is held on encrypted and password protected laptops, used only by Company Directors, Instructors, and Administrators. All the information you provide to us is used in relation to the Legitimate Interests of our core business, which is delivering Martial Arts Tuition to our members, and the tertiary services that our customers may specifically request, such as merchandise purchases or seminars. 3. What Happens with Your Data Your data is held on encrypted, password protected devices to ensure that your data is fully protected at all times. This information is held on the following platforms: Jotform, MailChimp, Excel, OneDrive, Dropbox and at times, on work phones. We ensure that any group emails that may include other members are sent BCC to ensure your email is not visible to others. We never sell your personal data. We share it only with the trusted providers and partners listed in Section 5 below, and, where applicable, with your child’s school: your child’s name, class and school year may be shared with the school that they attend, for the purpose of maintaining their own essential records of who is in school and where they need to be after school. At times, where we deem it is relevant, we may discuss details such as events that took place in class involving a student, where the child attends the same school that the class takes place in. If at any time you would like to request the personal data we hold with regards to you or your child, we will provide this to you within 40 days. 4. Some are essential and simply make the site work (for example, keeping an instructor logged in to the instructor area). Others help us understand how people find and use our site (analytics), and measure how well our adverts are performing (advertising), using services such as Google and Meta (Facebook and Instagram). The analytics and advertising cookies only run if you agree to them. When you first visit the site you will see a cookie banner where you can accept or reject them, and until you agree these cookies stay switched off (we use Google Consent Mode, which keeps advertising and analytics storage denied by default). Where we measure how our adverts perform, any information shared with advertising providers for matching is “hashed” first (scrambled into an unreadable code) before it is sent. International Data Transfers Some of the providers above (for example, Google and Meta) may process data outside the UK, including in the United States. Where this happens, we rely on appropriate safeguards recognised under UK data protection law (such as the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision) so that your information remains protected to the same standard as it would be in the UK. 7. How We Contact You At Tiger Martial Arts we believe in maintaining open communication with all our parents to make sure that both student and parent are aware of what we are working on throughout the terms. We do this by sending a weekly update via email (MailChimp) of what students are working on and any relevant information we think parents might want to know. Through these emails, we also promote our Fun Day events, grading invitations, Competitions and occasionally merchandise that we sell. All the information is relevant to Tiger Martial Arts. We will also send text messages about any last-minute updates to ensure that all parents are aware if we feel we have not given sufficient enough time to prepare. Should there be an issue regarding your child, your account, or anything personal we may contact you by phone. On our weekly emails, there is an unsubscribe option that is visible on the MailChimp weekly emails. Should you wish to be removed from other forms of contact, please email admin@tigermartialarts.club and we will remove any information you no longer wish for us to hold. 8. Should You Wish to Leave Us Should your child wish to leave Tiger Martial Arts, we will hold your information until the end of the academic year; we retain this data for a short period to confirm that the relationship has existed and that it has ended, and for the hopefully unlikely scenario that we may need to deal with any complaints from former customers. Once the academic year is finished, we will go through our system and remove the data you have provided us with unless you wish us to hold it, in case your child wishes to return at a later date. If you wish the information to be removed earlier, contact admin@tigermartialarts.club and, assuming all payments are finalised, and the child is no longer attending we can remove this information sooner. 9. Data Breach In the unlikely event that there is a data breach we will launch an investigation into how the breach happened, and take steps and measures to stop this from happening in the future. You will be notified within 72 hours of the breach to inform you what data has been taken, and how we plan to protect your data in the future. 10. Changes in Privacy Policy We reserve the right to modify our policy at any time. These changes will be updated and posted to our website, and via email to inform you of any changes that we make. 11.
